Lot Tracking in Dx5: Overview (Read Time: 10 Minutes)

Lot Tracking is a Dx5 feature that lets you track Raw Materials, Supplies, and Finished Products as distinct, trackable groups — or lots. Each lot keeps its own quantity, cost, and identifier, giving you improved costing accuracy and visibility from receiving all the way through to fulfillment.

Note: Lot Tracking is opt-in. If it isn't enabled on your system, your existing average-cost workflow is unaffected. To enable this feature, please reach out to support@fx5.com

The lifecycle covers four stages:

• Receive a Purchase Order — creates new Raw Material or Supply lots
• Apply a Recipe — consumes Raw Material lots into a batch
• Complete a Bottling Run — consumes Supply lots, creates a new Finished Product lot
• Create a Fulfillment Order — consumes Finished Product lots at shipping

Every stage defaults to FIFO (First In, First Out) — Dx5 automatically uses your oldest lot first. Manual override is only available at two points: selecting Supply lots during a Bottling Run, and selecting Finished Product lots on a Fulfillment Order. 

 Stage 1: Receive a Purchase Order

•  Navigate to Inventory > Purchase Orders > New PO and select your supplier
• Enter the PO date, and enter or auto-generate a PO number
• Select the items you're purchasing, entering quantity and Unit Cost for each
• Save the PO to receive later, or check Receive PO to receive it in the next page
• On the Receive Items form, enter or auto-generate a lot code, set the received date, and mark the PO as Filled

Each item received becomes its own new lot, visible afterward on that item's Inventory Detail page.

Stage 2: Apply a Recipe

• From Operations Overview > Start New Batch, choose your recipe and start the batch
• Dx5 pulls each Raw Material strictly by FIFO — there's no manual lot selection at this stage
• Your batch history shows Lot level accountability to the original PO and specific lots consumed

Stage 3: Complete a Bottling Run

• Enter your bottling details and select the variant(s) you're bottling
• In the Supplies Depleted section, select specific Supply lots if you want manual control, or leave FIFO in place

• Add any additional supplies used in this run that are not already defined as "Attached Supplies" through the new Add Supply mechanism 
• Complete the run
  • Completing the run creates a new, distinct Finished Product lot.

Stage 4: Create a Fulfillment Order

• Navigate to Fulfillment > Orders > Add New Order and enter your order details
• For each product line, use Select Lots to choose specific Finished Product lots, or leave FIFO in place

• Creating the order does not consume inventory — lots are only consumed once the order ships

Managing Lots Along the Way

Outside the normal receive → produce → ship flow, you can still view Active and Closed lots, adjust quantities, or transfer inventory between warehouses.

Where Lots Show Up in Reporting

Lot codes are included on the **COGS Report** and **Spirit Bottled Report**, so you can trace cost and production detail down to the individual lot. Both real-time and historical inventory views reflect lot-level detail.

Note: The Inventory Reconciliation tool and accounting integrations are not compatible with Lot Tracking. Contact your Implementation Specialist if you rely on either before enabling this feature.
